Responsibilities: The Administrative Assistant's role is to leverage the investors time through logistical coordination of the team's activities and needs. Most positions include the following responsibilities: Diligent telephone coverage with gate-keeping expectationsProactive calendar managementExtensive logistical coordination of meetings with various constituenciesDomestic & international travel itineraries and arrangementsProducing various materials including daily reports, market data information, meeting prep packets, research materials, presentations, etc.Handling daily mail, file systems, expense reporting, etc.Providing back-up for other department support positions as needed. The Floating Administrative Assistant may also be assigned various projects including assistance with special events and visitors.Qualifications: Prior office experience, ideally in an administrative support role; investment management or professional services background will be viewed favorablyExposure to international contexts, whether through work experience, study or living abroad, and/or personal travel, is preferredAdvanced proficiency in MS Office (Word, Outlook, Excel, & PowerPoint)Experience with MS Outlook for email, calendar management, and meeting coordinationExperience with creating and editing PowerPoint presentations; familiarity with Adobe AcrobatStrong interpersonal and communication skillsHigh level of reliability, diligence, professionalism and discretionAbility to work independently and as part of a teamOutstanding service orientation and proactive problem-solving skillsExcellent organizational, multi-tasking, and prioritization abilitiesStrong detail-orientation and ability to produce accurate, high-quality work under deadline while accommodating last-minute changesPositive, can-do attitude; Flexibility; Sense of humorStandard work schedule is 8 am - 5 pm though flexibility and overtime may be necessitated by business circumstance
