Dress code: Business CasualJob Description: SUMMARYThe position will provide full reception, secretarial and administrative support as required for the effective and efficient operation of the Department. Responsibilities include but are not limited to the following: answering the phone, greeting incoming guests, process facility access applications, managing department calendar, filing, data entry, general office and facility supply ordering. Office administrator is expected to demonstrate: good attention to detail, ability to stay calm under pressure, organizational skills, and the ability to multi-task. The individual must exercise initiative, independent judgment and discretion within the parameters of their responsibilities. Expected to work independently as well as in a team while providing a high level of customer service. Provide full reception, secretarial and administrative support as required for the effective and efficient operation of the Department. Procurement- Complete general office & supply orders while maintaining and filing all corresponding documentation (e.G. Requisitions, shopping carts, packing slips, etc.) Greet staff and department guest in addition to triaging questions/concerns. Process staff security access applications in system. Book room reservations. Schedule and assist in planning and coordinating departmental meetings and events, including catering orders and applicable facilities set-up. Coordinate department print job requests and maintain copy/print areas Receive and document department packages and contact recipients of their package arrival. Troubleshoot missing packages and alert recipient of the issue. Oversee/train intern workers on administrative tasks Assist with data entry, research of data Assist with the execution of department projects assigned by your supervisor or department director.REQUIRED SKILLS: Must provide a high level of customer service Must possess strong computer skills including advanced knowledge of Microsoft Office products including Outlook, Office, Excel, and Power Point. Ability to work and communicate effectively and professionally across all teams Excellent time management and organizational skills Must have excellent multi-tasking skills with the ability to work under pressure and meet deadlines Demonstrated ability to establish priorities, meet deadlines and be able to critically think through problems and present potential solutions Must be able to work independently as well as in a team environment Familiar with all printer functions: copying, scanning, faxing Demonstrates a systematic and thorough approach to work
