Job Description

Provide administrative support for management team.
May include: billing and report generation;
entering and retrieving statistical data; compiling reports; maintaining and updating project
address lists; responding to information requests by assembling informational packets and
mailings; preparing monthly reports; copying and dispersing flyers, newsletters and outreach
materials; assist with event planning.
2. Manage reception area to ensure effective telephone and mail communications both internally
and externally and provide excellent customer service to visitors. Staff reception desk, answer
incoming calls and greet visitors and clients.
3. Establish, maintain, and update filing system to ensure accuracy of files.
4. Create spreadsheets and other documents needed for the program.
5. Track walk-in clientele and needs of visitors. May perform intake and/or registration for clients and
provide resources and referrals as necessary.
6. Enter client data into program databases.
7. Manage purchases for the department, order supplies, track office expenditures.
8. May coordinate dates, locations and facilitator trainings.
9. May support kitchen tasks, meal/snack prep
10. Perform other related duties as assigned.
Qualifications
Ability to work effectively with people from a diverse range of backgrounds, cultures, and identities,
including underserved communities.
1. Pleasant personality and professional telephone manner is essential.
2. Excellent customer service, organizational, interpersonal, oral and written communication skills.
3. Ability to work well under pressure and have good problem solving skills.
4. Ability to manage multiple priorities and work in a fast-paced environment with minimal
supervision.
5. Excellent attention to detail and ability to maintain confidentiality.
6. Proficient computer skills to include: Windows, Microsoft Word, Excel, Internet, and comfort
learning new software and tracking systems.
7. Desire to work with low-income, culturally diverse, and at-risk families and individuals.
8. Ability to have episodic access to vulnerable populations.
9. Bilingual skills (English/Spanish, English/Khmer) a plus.
