Administrative Coordinator (Healthcare) – Full-Time
Location: Boston, MA (Onsite)
Pay: $20.00–$22.00 per hour
Schedule: Monday–Friday | 8:45 AM – 5:00 PM
Position Overview
We are hiring an Administrative Coordinator to support the day-to-day operations of a busy healthcare office in Boston. This is an excellent opportunity for an organized, customer-focused professional who enjoys working in a fast-paced environment while providing exceptional service to patients, families, and healthcare staff.

The ideal candidate has previous experience working with an Electronic Medical Record (EMR/EHR) system, is comfortable handling confidential information, and can manage multiple priorities with professionalism and attention to detail.
Responsibilities
  • Coordinate patient appointments, including scheduling, confirmations, cancellations, and rescheduling.
  • Welcome patients and visitors while providing professional and courteous customer service.
  • Answer incoming phone calls and emails, directing inquiries to the appropriate staff members.
  • Verify patient demographic and insurance information during the registration process.
  • Maintain accurate electronic and paper records while ensuring confidentiality and HIPAA compliance.
  • Process requests for medical records, referrals, and other required documentation.
  • Update patient records, including demographic information, immunizations, allergies, and other required documentation.
  • Communicate effectively with clinical staff to ensure timely follow-up on patient needs.
  • Follow established office procedures during urgent situations and notify appropriate staff when necessary.
  • Maintain reception and front desk operations, including patient check-in and check-out.
  • Order and maintain office and administrative supplies.
  • Perform other administrative duties as assigned.
Qualifications
  • High School Diploma or GED required.
  • Minimum of 1 year of administrative experience in a professional office or healthcare setting.
  • Experience using an Electronic Medical Record (EMR) or Electronic Health Record (EHR) system.
  • Experience handling confidential or sensitive information preferred.
  • Strong computer skills and the ability to quickly learn new software applications.
  • Excellent organizational and time management skills.
  • Strong attention to detail with the ability to prioritize multiple tasks.
  • Excellent verbal and written communication skills.
