Job Description

Our client, a reputable professional services firm is seeking an experienced Estate Advisor to manage all aspects of estate administration for a designated portfolio of estates. The ideal candidate will be responsible for overseeing all phases of estate management, ensuring compliance with internal procedures and applicable laws, and providing exceptional service to clients.

Key Responsibilities:
  • Assess the value of estate assets, liabilities, and administration costs, including taxes, to determine the financial needs of the estate.
  • Collect and manage the decedent’s assets, arrange payments for debts, and handle federal and state estate taxes, income taxes, and other related expenses.
  • Prepare and file federal and state estate tax returns, including any necessary follow-up and amendments.
  • Participate in estate tax audits as needed, collaborating with legal professionals to ensure proper documentation and responses.
  • Facilitate the distribution of estate assets in accordance with the decedent’s wishes, applicable laws, and beneficiary designations.
  • Work with the Estate Coordinator to prepare and file all required probate documents and accountings with the appropriate probate registries.
  • Collaborate with the attorney responsible to ensure that all aspects of the estate administration process are executed properly, and all deadlines are met.
  • Build and maintain strong relationships with clients, their advisors, and other professionals to ensure smooth communication and resolution of any concerns.
  • Participate in continuous professional development, including internal and external educational programs, and maintain a thorough understanding of the estate administration process.
  • Maintain comprehensive and organized records for each estate under your care.
  • Provide status updates and report any issues related to estate administration to Trustees or Department Managers.
  • Collaborate effectively with team members and other departments to meet goals and maintain high standards of service.
  • Stay informed about trends and updates in estate administration to enhance knowledge and improve work processes.
  • Use creativity and sound judgment to overcome challenges and drive results.

Requirements:
  • Bachelor’s degree in finance or a related field, or equivalent professional experience.
  • 5+ years of experience in estate settlement or estate administration.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Proven ability to thrive in a fast-paced environment with strong organizational, problem-solving, and analytical skills.
  • Ability to manage multiple tasks and responsibilities independently.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Familiarity with estate administration software such as SE2 Trust Accounting System, SEI/SWP, GEMS, TrustEase, CCH ProSystem FX, Zane Software, CCH ViewPlan, ZCalc, or similar platforms is a plus.
