Event Operations Administrator
 
Job Summary:  
This position, under general direction of the Director, Event Operations, is responsible for assisting the team with day-to-day operational functions, which will include conducting direct sales support efforts in concert with the team, follow-ups and proper sales administration. 

As a secondary function, the Administrator will provide support to the event operations team.  The role will work collaboratively as part of an extended client team, interacting with any function or capability contributing to a client event. 

Role requires an understanding and the ability to engage with customers, functional specialists, and other stakeholders whose support is critical for successful event operations initiatives.  The incumbent will achieve a reasonable level of understanding of the company’s  business in order to communicate effectively with Sr. level staff, clients, and suppliers and provide relevant guidance. 

Key Responsibilities:

Event Operations Sales Support
  • Will be responsible for the intake and recording of all relevant secured event service agreements and administration of the same
  • Monitors sales email box as well as phone lines as needed 
  • Attends and actively participates in business development opportunity meetings when requested
  • Provides administrative support including proofreading, coordinating conference calls, meeting scheduling, client offerings, and events as may be needed
  • Supports sales team by following up with sales leads for contract generation, closing, and processing
  • Utilizes sales database/CRM to track and manage sales leads and opportunities
  • Manages customer invoicing and collection process as well as recording of the same
Data Integrity within CRM System 
  • Responsible for CRM administration (currently Salesforce.com) including user management, data management, application setup, customization, reports, and monthly dashboard reporting
  • Maintains meticulous records of all sales and revenue activity (leads, opportunities, proposals, and agreements, invoicing) within CRM system
  • Manages, analyzes, and summarizes sales forecast for the business operations team 
  • Special projects as assigned
Qualifications
  • Excellent verbal, written and listening communication skills
  • Must possess a high degree of personal integrity, a professional demeanor and positive attitude
  • Must have problem solving, critical thinking and analytical skills as well as the ability to multi-task combined with strong organizational skills and a sense of priority to drive results
  • Must demonstrate strong communication skills (written and verbal) attention to detail, and some editing proofreading skills
  • Proficient with tools and systems related to sales management and project communications
  • Proficient on virtual technologies in order to lead virtual events
  • Experience managing multiple simultaneous projects, setting priorities, tracking progress, meeting deadlines and producing accurate, detail oriented results
  • Must be organized and highly detailed
  • Requires the ability to work quickly and accurately in a team environment and support varied departmental projects

Targeted pay of $24-26/hr
