Job Description

Overview
This role provides high-level administrative and operational support to senior investment professionals within a global finance function. The position requires exceptional organizational skills, sound judgment, and a proactive approach to managing competing priorities in a fast-paced, deadline-driven environment. The ideal candidate is detail-oriented, highly dependable, and capable of interacting professionally with stakeholders across all levels of the organization.

Key Responsibilities
  • Oversee day-to-day administrative support for a team of senior finance professionals
  • Coordinate and maintain complex calendars across multiple time zones, anticipating scheduling needs and conflicts
  • Organize internal and external meetings, including logistics for team events and offsite sessions
  • Prepare, review, and submit expense reports with a high degree of accuracy and timeliness
  • Arrange domestic and international travel, including detailed itineraries and accommodations
  • Compile information, conduct research, and create reports using internal systems and external resources
  • Provide backup support to other administrative staff and leadership teams as needed
  • Contribute to special projects and provide additional support across the broader organization on an as-needed basis

Qualifications
  • 5+ years of administrative experience, preferably within financial services or a corporate environment
  • Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint, OneNote)
  • Experience with meeting tracking or CRM tools is a plus
  • Strong interpersonal and communication skills, with the ability to interact effectively across all levels
  • High level of professionalism, discretion, and reliability
  • Demonstrated ability to anticipate needs and solve problems proactively
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously
  • Strong attention to detail and commitment to producing high-quality work
  • Ability to adapt quickly and remain effective in a fast-paced, changing environment
  • Positive attitude, flexibility, and a collaborative mindset
