Our client, a leading global investment management firm, is seeking an Executive Assistant to provide dedicated support to senior professionals within its investment organization. This role serves as a trusted business partner, working closely with executives to manage complex schedules, coordinate competing priorities, and ensure seamless execution across a wide range of business activities.

The Executive Assistant will play a critical role in supporting a fast-paced, highly dynamic environment, with significant responsibility for managing complex calendars, coordinating domestic and international travel, and orchestrating time-sensitive meetings and logistics. Success in this role requires the ability to anticipate needs, adapt quickly to changing priorities, and deliver thoughtful solutions with accuracy, discretion, and sound judgment.

We are seeking a highly organized, resourceful professional who thrives in a collaborative environment and takes pride in providing exceptional executive support. The ideal candidate combines strong attention to detail with a proactive mindset, outstanding follow-through, and a commitment to delivering a best-in-class experience for internal and external stakeholders. While prior experience in financial services is not required, an interest in the investment industry is a plus.

Key Responsibilities
  • Provide proactive, high-level administrative support to senior leaders, anticipating needs and managing competing priorities in a fast-paced environment.
  • Manage complex executive calendars, balancing changing schedules, competing demands, and time-sensitive meeting requests with sound judgment and exceptional attention to detail.
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, transportation, and last-minute changes.
  • Plan and execute meeting logistics, ensuring meeting space, technology, materials, attendees, and related details are organized for a seamless experience.
  • Prepare, process, and reconcile expense reports and other administrative documentation accurately and in accordance with company policies.
  • Build strong relationships with executives, internal business partners, external contacts, and vendors while serving as a responsive and trusted point of contact.
  • Exercise discretion when handling confidential information and sensitive matters, demonstrating sound judgment and professionalism.
  • Provide cross-functional support and backup coverage for other Executive Assistants as needed.
  • Assist with special projects and operational initiatives while demonstrating curiosity, adaptability, and a willingness to take on new responsibilities.

Qualifications
  • Minimum of 3 years of Executive Assistant or high-level administrative experience within a professional services, financial services, consulting, or similarly fast-paced corporate environment.
  • Experience supporting senior executives with complex scheduling and competing priorities.
  • Exposure to global business environments or experience supporting international teams is a plus.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams, with an eagerness to learn new technologies that improve efficiency.
  • Exceptional organizational skills, attention to detail, and commitment to producing high-quality work.
  • Strong multitasking, prioritization, and time management abilities.
  • Proactive problem-solving skills with the ability to anticipate executive needs.
  • High level of professionalism, reliability, discretion, and sound business judgment.
  • Ability to thrive under deadlines and adapt quickly to changing priorities.
  • Positive attitude, flexibility, strong interpersonal skills, and a collaborative approach to supporting the team.
