Job Description

THE POSITION
Our client is seeking an Executive Assistant to provide high-level administrative and operational support to senior professionals within a fast-paced business environment. This role is responsible for helping executives maximize their time by anticipating needs, managing logistics, organizing information, and ensuring day-to-day operations run smoothly.

The ideal candidate is highly organized, proactive, and exercises excellent judgment while managing multiple priorities independently. Success in this role requires professionalism, discretion, adaptability, and a technology-forward mindset. Candidates should be comfortable leveraging modern productivity tools and AI-enabled technology to improve efficiency and streamline workflows.
RESPONSIBILITIES
The Executive Assistant will provide comprehensive support to senior leaders and teams, including:
  • Manage complex executive calendars, prioritizing competing demands, resolving scheduling conflicts, and maximizing executives' time.
  • Coordinate internal and external meetings, including scheduling, conference room reservations, visitor registration, technology setup, meeting materials, catering, and follow-up.
  • Arrange domestic and international travel, including flights, hotels, ground transportation, itineraries, and last-minute schedule changes.
  • Prepare presentations, meeting materials, reports, research documents, and other information needed for meetings and business initiatives.
  • Utilize Microsoft Office applications, collaboration platforms, AI productivity tools, and other business technologies to improve workflow efficiency and organization.
  • Maintain organized systems for email management, task tracking, travel, meeting documentation, records, and recurring administrative processes.
  • Build strong working relationships with executives, administrative teams, internal business partners, external contacts, and vendors.
  • Provide backup support for other Executive Assistants to ensure seamless team coverage.
  • Handle confidential information with discretion while exercising sound judgment regarding priorities, escalations, and independent decision-making.
  • Support special projects, team events, onboarding activities, reporting, process improvements, and other operational initiatives.
QUALIFICATIONS
  • Minimum of 3 years of Executive Assistant or high-level administrative support experience, preferably within financial services, professional services, consulting, investment management, or another fast-paced corporate environment.
  • Experience supporting multiple executives with complex calendars and competing priorities.
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, OneNote, and other Microsoft Office applications.
  • Interest in leveraging AI and emerging technologies to improve productivity and streamline administrative processes.
  • Exceptional organizational skills, attention to detail, and follow-through across scheduling, travel coordination, meeting logistics, expense management, and written communication.
  • Ability to work independently, prioritize effectively, and exercise sound judgment in a fast-paced environment.
  • Strong interpersonal and communication skills with the ability to build trusted relationships across all levels of an organization.
  • Flexibility to adapt to changing business needs while maintaining professionalism, composure, and a high level of service.
