Job Description

The Panther Group is seeking an Executive Assistant for a university in the Boston, MA area.  This is a contract opportunity that is onsite and will transition to hybrid after training is completed. The Executive Assistant provides high-level administrative support to one or more senior leaders, serving as the primary point of contact for internal and external stakeholders on confidential and time-sensitive matters. This role involves complex calendar management, coordinating travel, preparing agendas and communications, supporting special projects, and producing high-quality documents and reports. The Executive Assistant exercises sound judgment, anticipates needs, and ensures the executive(s) are well-prepared and operating efficiently. Strong discretion, organizational skills, and a proactive mindset are essential for success in this role.

Key Responsibilities & Accountabilities:
  • Provide high-level administrative support to one or more senior leaders, acting as a trusted liaison for internal and external stakeholders.
  • Manage complex calendars, schedule meetings, and coordinate logistics to optimize time and efficiency for the executive(s).
  • Coordinate domestic and international travel, including itineraries, accommodations, and expense reporting.
  • Prepare meeting agendas, draft communications, and compile briefing materials to ensure the executive(s) are well-prepared.
  • Support special projects and initiatives by conducting research, tracking progress, and facilitating collaboration across departments.
  • Create, edit, and format high-quality documents, presentations, and reports with close attention to detail.
  • Handle sensitive information with discretion, maintaining confidentiality and professionalism at all times.
  • Anticipate the needs of the executive(s) and take proactive steps to ensure smooth daily operations.
Minimum Qualifications
  • 2–4 years of experience in a professional administrative or executive support role, supporting senior leadership such as a Dean or equivalent.
  • Proven ability to interact professionally with high-level executives while maintaining a friendly, approachable, and discreet demeanor.
  • Exceptional written and verbal communication skills, with the ability to represent the office with clarity and professionalism.
  • Demonstrated experience managing complex calendars, coordinating meetings, and handling scheduling with precision and attention to detail.
  • Strong judgment and ability to manage confidential information with discretion and integrity.
  • A collaborative, proactive mindset with a willingness to engage in and support college-wide initiatives and activities.
  • A balance of professionalism and approachability, with a good sense of humor and the ability to adapt to a dynamic academic environment.
