Job Description:
Manages the Dean of Students calendar and meetings and assists other members of the Dean's staff with meeting scheduling and outreach.
Negotiates scheduling issues between and among various constituencies across campus.
Coordinates responses to queries to the Dean of Students Office general email account and calls of concern that come into the office. Provides guidance to students, families, faculty, and staff in navigating challenging, complicated, and sensitive situations in a high-volume fast-paced office that responds to emergent needs
Assists the Dean and team with administrative functions including providing support for purchasing, and office supply management. Work includes: processing invoices for payment, managing receipts, and reconciling purchasing card transactions and statements.
Helps resolve issues arising from students, family members, staff, and faculty, etc.; requires knowledge of university and/or divisional policies and procedures.
Manages the Dean of Students office, performs day to day tasks, and assists with meeting planning and agendas. Responsible for ordering and maintaining office equipment, overseeing and processing invoices, employee documents, etc.
Handles all office and support functions, including answering and screening incoming calls, greeting visitors, processing paperwork, and distributing packages and mail.
Assists with preparation of weekly divisional updates and year end reports.
Provide event planning support which includes arranging for space, planning menus, advertising, publicity, arranging for and operating audio-visual equipment and preparing presentations.
Helps design and create publications including invitations, posters, banners, brochures, etc.
Additional administrative duties as assigned.
Skill Required
Written/Verbal Communication Outstanding verbal communication skills and -the ability to communicate comfortably at all levels in the community including faculty, students, staff, family members, and the public.
Will handle sensitive information.
Knowledge In-depth knowledge of concepts, practices and procedures with ability to use in varied situations.
Collaboration/Service Has frequent contact with others outside of the work group, both inside and outside University.
Problem Solving Problems are varied, requiring analysis or interpretation of the situation. Problems are solved using knowledge and skills, general precedents and practices.
Experience directly assisting administration, preferably in a higher education setting and the ability to work efficiently with minimal direction.
Excellent skills and proficiency in the use of all Microsoft Office products and related software, and the ability to easily learn new software programs and guide other staff in the use of current and new software programs.
Ability to prioritize and multi-task with a high degree of accuracy, and the ability to interact with diverse populations.
Handling matters with a high level of professionalism, confidentiality and discretion is a must.
Qualifications:
Previous experience within higher education preferred
Bachelor's degree preferred
High School Diploma required
Pay Rate Range: Up to $33.00 per hour depending on experience
