Job Description

About the Opportunity
A well-established financial services organization is looking for an experienced Executive Assistant to join its New York office and provide high-level administrative support to a group of senior professionals.

This person will play an important role in keeping the team organized and operating efficiently. The position is ideal for someone who enjoys working closely with senior executives, is comfortable managing a busy schedule, and can quickly adjust when priorities change.

The successful candidate will be someone who takes ownership of their work, communicates effectively, anticipates needs, and is comfortable working with confidential information.
What You'll Do
  • Own day-to-day administrative support for several senior professionals.
  • Manage busy calendars and coordinate meetings, appointments, and changing schedules.
  • Help prioritize scheduling requests and resolve conflicts efficiently.
  • Arrange domestic and international business travel and coordinate all related logistics.
  • Prepare itineraries and ensure executives have the information they need before traveling.
  • Coordinate internal meetings, client meetings, team gatherings, and occasional special events.
  • Assist with expense reporting and other routine administrative processes.
  • Help organize and maintain documents, presentations, and other materials.
  • Serve as a point of contact for internal partners and outside contacts.
  • Work closely with other administrative professionals to ensure seamless coverage across the organization.
  • Assist with special projects and other administrative needs as they arise.
What We're Looking For
  • Several years of experience as an Executive Assistant, Senior Administrative Assistant, or similar administrative professional.
  • Previous experience supporting senior executives or multiple high-level professionals.
  • Strong calendar management and scheduling skills.
  • Experience coordinating complex business travel.
  • Excellent judgment when dealing with confidential or sensitive information.
  • Highly organized with strong attention to detail.
  • Able to prioritize effectively when multiple requests come in at the same time.
  • Strong written and verbal communication skills.
  • Professional and personable demeanor with the ability to interact comfortably with people at all levels.
  • Comfortable working in an environment where priorities and schedules can change quickly.
  • Self-directed and proactive; able to identify what needs to be done without constant direction.
  • Strong working knowledge of Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
  • Comfortable learning new technology and internal systems.
  • Financial services experience is helpful, but candidates from other demanding corporate environments will also be considered.
  • Bachelor's degree preferred.
The Right Fit
This opportunity is best suited for an EA who is calm under pressure, highly dependable, and naturally proactive.

You should be someone who can keep several executives organized without needing to be micromanaged, communicate clearly when something needs attention, and maintain a high level of professionalism even during particularly busy periods.

A strong candidate will also understand that supporting senior professionals requires discretion, flexibility, responsiveness, and the ability to anticipate needs before they become problems.
