Job Description
Our client is seeking a polished and personable Receptionist to serve as the welcoming presence for their reputable professional-services organization. In this role, you will help create a positive first impression for visitors and clients while supporting smooth front-office operations. The ideal candidate will be proactive, detail-oriented, and able to manage a variety of administrative tasks with discretion and professionalism.
Responsibilities:
Warmly greet and assist clients, guests, and vendors in a professional manner
Answer and route incoming calls, emails, and other communications, ensuring timely and accurate message delivery
Schedule and confirm appointments, maintain calendars, and coordinate meeting spaces
Support client intake processes and accurately enter client information into internal systems
Sort, distribute, and prepare daily mail; manage outgoing packages
Provide general administrative assistance, including document preparation and file maintenance
Maintain a clean, organized reception area and shared office spaces
Monitor office supply levels and place replenishment orders as needed
Support team members with additional tasks as assigned
Requirements:
High school diploma or equivalent; additional training in office administration is a plus
Previous experience as a receptionist, front desk associate, or similar administrative role; experience within a professional or regulated environment is an advantage
Comfortable managing multi-line phone systems and standard office equipment
Proficient in Microsoft Office Suite, with the ability to learn new software quickly
Strong attention to detail, organization, and time-management skills
Self-motivated, able to work efficiently under pressure and with limited supervision
Excellent verbal, written, and interpersonal communication skills
Ability to work both independently and collaboratively in a fast-paced setting
Strong problem-solving abilities and sound judgment
Demonstrated ability to handle confidential information with integrity
Professional, empathetic, and service-oriented approach to interactions with clients and colleagues
